Field service management for the trades
The field service platform that answers your phone
XpressManage runs the office for plumbing, HVAC, and electrical companies — an AI receptionist that books real jobs, online booking, live dispatch and tracking, a tech tablet that navigates and bills on-site, and payments that reconcile themselves. Booked online, scheduled by AI, on your calendar in 60 seconds.
One flat monthly price · Unlimited users · No per-seat fees
Everything the office does, handled
From the first ring to the paid invoice — one system, built for service companies.
AI phone receptionist
Never send a customer to voicemail again. Your receptionist answers after hours, quotes real availability, and books the job straight onto your schedule — every call transcribed and summarized.
Online booking
Customers pick a service and a real open time slot from your live schedule. Booked online, scheduled by AI, on your calendar in 60 seconds.
Smart scheduling & dispatch
A live dispatch board tuned to your time zone, with AI-suggested scheduling that fills gaps and keeps techs moving — you confirm with one click.
Live map & tech tracking
See every tech who's on an active job on one map, with drive-time ETAs and last-seen times — and nothing to install to make it work.
The tech tablet
Your crew's whole day on one screen: today's jobs, one-tap navigation, photos, on-site invoicing, and payment. Runs in the browser on the device they already carry.
Estimates that follow up
Send professional estimates customers approve online. Automatic follow-ups chase the silence so you don't have to, and the office is notified the moment a customer responds.
Invoicing & field payments
Techs build and send the invoice on-site, collect card, cash, or check, and payments reconcile automatically. Office review workflows when you want control.
Job profitability
Know your real margin on every job — labor at each tech's true rate, parts at cost, and payment fees rolled up per job, per tech, and per service line.
Timesheets & scorecards
Paid on-site hours build themselves from the field, with CSV export for payroll — plus on-time arrival rates and pace against estimated time, per tech.
Maintenance agreements
Recurring service plans with member pricing, automatic visit scheduling, and card-on-file autopay renewals.
Customer portal & reviews
Customers see their estimates, invoices, and visit history in a secure portal — and happy ones get an automatic nudge to leave a review.
Texting under your own name
Appointment confirmations, tech-on-the-way alerts, and estimate links, sent from your own business number and your own carrier-registered sender. Carriers require every business to register separately — we prepare and file the paperwork for you and track it to approval.
The field tablet
Your techs run the whole day from one screen
No app store, no install, no company-issued hardware. XpressManage opens in the browser on the tablet or phone your tech already carries — they sign in once and the day is right there, built for big thumbs and almost no typing.
- Today, in order
- Every job assigned to them, chronologically, with the time, customer, address, and status. One tap to call, text, navigate, or open the job.
- One-tap navigation
- Turn-by-turn driving directions with a live distance and drive-time estimate inside the app — or hand the address off to Google Maps or Apple Maps, whichever your tech prefers.
- Arrival that stamps itself
- Once the device has been at the job address for about a minute and a half, we ask once: “Looks like you've arrived — mark Arrived?” One tap records the true arrival time, so on-site hours and on-time rates are real numbers instead of end-of-day guesses.
- Photos land on the office record
- The tech shoots straight from the tablet camera — before, after, damage, the model plate — and the office sees them on the job page before the van leaves the driveway.
- The full history in hand
- Notes, line items, prior visits, and the customer's service plan travel with the job, so nobody has to call the office to ask what was done last time.
- Time and breaks, tracked quietly
- On-site time runs from arrival to completion; lunch is unpaid with a length you set, short breaks are paid. Payroll hours accumulate without anyone filling in a form.
- Bill and collect before leaving
- Build the invoice on-site from your price book, then take card, cash, or check. Techs you trust can finalize and send it themselves; everyone else submits it for office review — set per company and per tech.
Dispatch, routing & tracking
See the whole day — and where everyone actually is
The dispatch board runs on your company's time zone, not the browser's, so 8 AM means 8 AM whether you're dispatching from the shop or a laptop three states away.
- Live map of the crew
- Every tech currently on an active job, on one map, with last-seen times and drive-time context. Nothing to install — the tablet reports position from the same browser session the tech is already working in.
- Location only while it's work
- Position reports start when a job goes en route and stop when it's done. We don't follow your people on their lunch break, on the way home, or on their day off — and you can tell them exactly that.
- Status you can read across the room
- In-progress jobs pulse, finished jobs dim and check off, unassigned work stands out. Day, week, and month views; drag to reschedule.
- AI-suggested scheduling
- New work arrives with a proposed slot that respects drive time, tech skills, working hours, and your service area — shown as a ghost block you confirm or reject. Nothing lands on a tech's day without a human saying yes.
- A service area you define
- Draw a radius around the shop and we fill in the ZIP codes; edit the list from there. Work outside it still comes through — flagged, not blocked — so you decide whether the drive is worth it instead of silently losing the call.
- Conflict checks before you save
- Reassign a job onto a tech who's already booked and we say so up front. Per-tech availability, blackout days, and travel buffers all feed the same board.
- Built for the dispatch wall
- Every tech gets their own lane, so the whole fleet reads as one board rather than a stack of calendars. Full-screen mode drops the app chrome for a wall-mounted monitor, and a second screen running the live map puts the schedule and the trucks side by side.
- Groups that keep a big board readable
- Organize your techs by shift, crew, or region — a tech can belong to more than one — then filter the board down to the groups you're actually dispatching. Forty lanes becomes the eight that matter.
- A screen per crew
- Copy a board link and open it on another display: that screen keeps its own crew and its own view, independent of every other screen and of whatever the dispatcher is looking at. Hang four monitors, give each one a crew, and the wall stays put — bookmark the links and they come back the same way after a reboot.
Texting, reviews & the customer portal
Every update sent for you — and every text compliant
Texting is the highest-response channel in the trades and the easiest one to get wrong. XpressManage sends from your own registered business number, with consent enforced in the plumbing rather than bolted on afterward.
- Your own business number, properly registered
- We provision the number, register your brand and campaign with the carriers (10DLC), and attach the number to it. That registration is the step most small companies skip — and it's why their texts get silently filtered before the customer ever sees them.
- The messages that actually matter
- Appointment confirmations, “your tech is on the way,” estimate links, invoice and pay links, reschedules, and review asks. Templated, personalized, and sent at the moment the event happens.
- Consent enforced at the point of send
- Customers opt in with an optional, never-pre-checked box on your booking form, or verbally when they call. An opt-out suppresses every automated text to that number at the moment of sending — not on a list somebody has to remember to check. HELP and STOP always work.
- Review requests when goodwill is highest
- The moment an invoice is paid in full, the customer gets a tracked link to your Google review page by text, email, or both. Customers who pay online get the ask right on the payment confirmation, while they still have their phone in hand.
- Review engagement you can measure
- Every ask is a tracked link, so how many customers you asked and how many actually clicked through are numbers on a page — not a hope.
- The office hears about it first
- When a customer approves an estimate or asks for changes, your office gets a text and an email within seconds with a link straight to the record. Invoices waiting on review raise a live badge in the sidebar.
- A customer portal with no password
- Customers enter their email and get a private link — no account to create, nothing to remember. Inside: their invoices with a Pay Now button, estimates, visit history, and service plans.

The XpressManage text messaging program sends service-related messages — appointment
confirmations, reminders, technician updates, estimates, and invoices — only to customers
who opt in. You opt in by checking the optional, never-pre-checked consent box on the
online booking form, or by verbally agreeing when you book by phone; consent is not a
condition of purchase and declining does not affect your booking. Message frequency

Service companies that use XpressManage text under their own name. Carriers require every business to be registered separately as its own sender, so each company using our software registers its own brand and campaign, sends from its own business number, and publishes its own opt-in policy. XpressManage prepares and files that registration on their behalf — we are never the sender on their messages.
Estimates, invoicing & getting paid
From the estimate to the deposit in your bank
One chain of records, front to back: the estimate the customer approved, the job your tech performed, the invoice they signed off on, and the payment that closed it — with the margin calculated the moment it lands.
- Estimates customers approve online
- Send by email and text; the customer opens a link on their phone and approves, declines, or requests changes. No printing, no “did you get my email?”
- Follow-ups that chase the silence
- Unanswered estimates get automatic reminders on a cadence you set, until the customer responds or the estimate expires. It's the highest-return automation in the product because it recovers revenue you'd already earned the right to.
- Approved becomes a job in one click
- The estimate freezes as the customer's record of what was promised, while the job's line items stay editable for what the tech actually found — and every change is written into the job's activity log so nothing is disputed later.
- Card, cash, or check
- Take a card in the field on the tech's device or online from a pay link, and record cash and check for the companies that still take them. Partial payments track the balance and flip the invoice to paid on their own.
- Your Stripe account — your money
- You connect your own Stripe account, so customers pay you directly and payouts land in your bank on Stripe's schedule. We never sit in the middle of your revenue and we don't take a percentage of it.
- Paid invoices lock
- Once an invoice is paid or voided it can't be quietly edited. Corrections happen as refunds and adjustments — the way your accountant would want it, and the way an audit expects to find it.
- Recurring revenue on autopilot
- Maintenance agreements with member pricing, visits scheduled on their own cadence, and card-on-file renewals that charge themselves when the term rolls over.
- Real margin, per job
- Labor at each tech's actual pay rate against real on-site hours, parts at cost from inventory, and processing fees — rolled up per job, per technician, and per service line. Not revenue. Margin.
- Payroll-ready hours and tech scorecards
- Paid on-site hours per tech per day with a CSV export for payroll, plus on-time arrival percentage and pace against estimated time so coaching conversations start from evidence.
- Books without the busywork
- Sync invoices and payments to xpressBooks, our accounting product built for the same businesses — no export-and-pray, no third-party bookkeeping bolt-on.
The AI front office
The call you'd have missed, on the calendar by morning
Most service companies lose more revenue to the phone ringing out than to any competitor. Your AI receptionist picks up on the calls you can't — after hours, mid-job, or during the dinner-hour rush — and it doesn't just take a name. It looks at your real schedule and books the work.
Included on Pro with 300 answered calls a month, or add it to Starter or Growth for $49/mo.
- Answers after hours, or every call, on your existing business number.
- Checks the same live availability engine your online booking uses, then books a real, confirmed slot on the spot.
- Verifies the address while the caller says it, and catches a mis-heard street before it becomes a wasted truck roll.
- Takes a detailed message when it can't book, and hands off to your office during business hours.
- Every call transcribed and summarized in your dashboard — you can read exactly what was said.
How it works
One thread from the first ring to the paid invoice.
The job books itself
A customer books online from your live availability — or calls and your AI receptionist answers, checks the schedule, and books the visit. Even at 2 AM.
The schedule stays tight
New jobs land on the dispatch board with AI-suggested time slots that respect drive time, tech skills, and your service area. You confirm; the customer gets a text.
The tech runs the call
One tap navigates, arrival stamps itself, photos and notes go onto the record, and the office watches it happen on the live map.
The money follows the work
Your tech builds the invoice on-site and collects payment. The review ask goes out, and you see the real margin on the job the moment it closes.
Now live
xpressPlace — the marketplace that sends you the job
A homeowner looking for a plumber today is basically gambling. xpressPlace is the homeowner-facing marketplace built on top of XpressManage — and because your schedule, your response times, and your completed work already live here, your listing is real operating data instead of a sales pitch.
The connection points are already live inside XpressManage: your public profile, your true next open slot, and homeowner requests that arrive as jobs. The marketplace is now live and still rounding out its feature set.
Visit xpressplace.com ↗- A profile that builds itself
- Company, trades, license, service area, and years in business come from your account — not another directory form to fill out and forget.
- “Available now” that actually means it
- The marketplace reads your live schedule and shows your genuine next open slot, so homeowners book a time you can really keep.
- Ranked on how you operate, not how you sell
- Jobs completed, median days from request to appointment, and how quickly you confirm — measured from your real operating data, never self-reported.
- Ratings and reviews tied to real work
- Reviews will attach to completed, paid jobs that exist in the system, so a rating on xpressPlace is one a homeowner can actually trust. This is the piece we're building next.
- Leads arrive as jobs
- A homeowner request lands directly in your Jobs list, de-duplicated against your existing customers and rate-limited against spam.
- You choose to be listed
- Listing is off until you turn it on, and everything a homeowner can see is spelled out before you do. Pro plans get listing priority.

Common questions
- Do you charge per user?
- No — and we never will. Every plan is one flat monthly price with unlimited users, so adding a tech, a dispatcher, or a bookkeeper costs you nothing. Per-seat pricing punishes you for growing; we think that's backwards.
- Do my technicians need to install an app?
- No. The tech tablet runs in the browser on any modern tablet or phone — Android or iPad, company-issued or their own. There's nothing to download, nothing to update, and no app-store approval standing between you and a fix.
- Are you tracking my techs all day?
- No. A tech's device reports its position only while they have a job en route or in progress, and only from the session they're signed into. Nothing is recorded on their lunch break, on the drive home, or on their day off — and you can tell your crew exactly that.
- Who processes the payments, and do you take a cut?
- You connect your own Stripe account. Customers pay you directly and payouts go to your bank on Stripe's schedule. XpressManage never sits in the middle of your revenue and takes no percentage of it — you pay Stripe's normal processing rate and nothing to us.
- How does the AI receptionist know what's actually open?
- It reads the same availability engine your online booking page uses — working hours, existing jobs, blackout days, and travel buffers — so it quotes times you can genuinely keep and books a confirmed slot on the spot. Every call is transcribed and summarized so you can read exactly what it said.
- Will my texts actually get delivered?
- Yes, because we do the part most people skip. We provision your business number and register your brand and campaign with the carriers under 10DLC, which is what keeps business texts out of the filtered bucket. Customer consent, HELP, and STOP are enforced automatically on every automated message.
- Does it integrate with QuickBooks?
- No. We sync with xpressBooks, our own accounting product built for the same businesses — so your invoices, payments, and job costs move over without an export-and-pray step or a third-party connector to babysit.
- Which trades is it built for?
- Plumbing, HVAC, electrical, drain and sewer, water heaters and water treatment, appliance repair, garage doors, and general handyman work. Setup starts from an industry pack, so your services, job types, and price book aren't a blank page on day one.
- What happens after the free trial?
- Every plan starts with a 14-day free trial with everything unlocked. When it ends you pick a plan and keep going — your data stays exactly where it was. You can move between Starter, Growth, and Pro at any time, and the change takes effect on your existing subscription immediately.
